LET’S GET YOU MOVING
What do you need today?
Find your next step.
Choose a topic or search for the task you need help with.
Account & accessGet back into your account
Start with the right login and your account email.
- Open the Steams Online login page. Students should use the portal link supplied by their training organization.
- If you cannot remember your password, use Forgot password and enter the email associated with your account.
- Follow the instructions you receive. If you cannot access that email, contact support for help with your account.
Account & accessPlan access for your team
Match account permissions to each person’s work.
- List the tasks each team member needs to complete, such as enrollment, instruction, or billing.
- Have an authorized account administrator review user access and permissions. Give each person access for their responsibilities.
- Ask the administrator or support team about a missing permission before sharing another person’s login.
Classes & enrollmentPrepare a class for registration
Gather the class details before you open enrollment.
- Confirm the class name, dates, location or delivery format, capacity, and cost.
- Create the class in Steams and complete the required class information. Review its status and enrollment settings.
- Check the student-facing class information before inviting registrations. Make sure the schedule, requirements, and payment arrangements are clear.
Classes & enrollmentCollect the information your program needs
Use custom fields for additional registration details.
- Open System Settings and find Custom Fields. Enter a clear label and choose the appropriate field type.
- Decide whether the field should appear on the registration page. Collect information that your team will actually use.
- Review the field on the registration page and the student’s additional information section.
Student recordsKeep a document with a student’s record
Find the correct profile before adding a file.
- Search for the student and open the correct profile. Check the identifying details before making changes.
- Open the Document section, choose the file, and give it a useful title.
- Save the document and confirm that it appears on the intended student’s record.
Student recordsHelp a student find their next step
Use the class, payment, and learning context together.
- Start with the student’s name and the class or program their question concerns.
- Check the relevant enrollment, payment, document, or learning information before advising them.
- If the issue is access to a school’s student portal, confirm that the student is using the portal link for that school.
Billing & paymentsSet a deposit or pay-later arrangement
Make the payment expectation clear at registration.
- Go to System Settings, then Payment Settings, and review the payment preference.
- For an advance deposit, choose the required amount or percentage. If your organization allows pay later, review that option instead.
- Check the payment message students will see, save your changes, and review the resulting registration experience.
Billing & paymentsInvestigate a payment question
Bring the invoice, receipt, and processor reference together.
- Find the student and the relevant class, invoice, or receipt. Note the amount, date, and displayed status.
- If a payment processor was involved, compare its transaction reference with the record in Steams.
- If the records disagree, send support the relevant references and a description of what happened. Do not include full card numbers or card security codes.
Learning & certificatesPlan a clear learning experience
Organize the sequence before adding materials.
- Decide how the class will be delivered and what students need to learn in each section.
- Organize the relevant lessons, files, assignments, and quizzes in the LMS.
- Review the learning sequence and the student experience before you ask students to begin.
Learning & certificatesPrepare your certificate design
Bring your template, seal, and signature together.
- Choose a predefined certificate template or prepare your own design.
- If you use a digital seal or signature, prepare those items before creating the certificate.
- Review the certificate information and your completion requirements before assigning certificates.
Connected workflowsPrepare to connect another tool
Start with the service and the task you want to connect.
- Identify the tool you want to connect and the task it should support, such as payment collection, accounting, or online classes.
- Check that the service is supported and that you have the appropriate account and permissions.
- Review the setup with your administrator or the Steams team, then test the intended workflow before relying on it.
Connected workflowsStart a report with a useful question
Choose the information that supports your decision.
- Write down the question you want to answer, such as which students still have a balance or how a class is filling.
- Choose the relevant report and the available date, class, or other filters.
- Check the scope of the results before sharing them or taking action.
